Job Description:
Under the overall supervision of the Executive director and Provincial Manager, Head office finance Manager the Admin Finance Officer will be responsible for the following duties and responsibilities
Duties and responsibilities:
To ensure cash management of all types including withdrawals of cash from banks, deposit of cash into banks, issuance of cheques.
Task responsible of both DAWEO’s FGC Center in Bayman province.
To record daily transactions in primary books of accounts (General Journal and Project Cashbook, Bank Book and QuickBooks).
To ensure final check and verification of financial documents before payment of cash and issuance of cheques.
To ensure all required supporting documents are available upon payment as well as the fund is available in the accounts.
To perform daily cash count weekly and monthly basis for document purpose.
To execute the cash and bank reconciliation on monthly basis and documented.
Ensure that all financial related information is kept confidential.
Preparation of monthly fund request according to need and budget and sending to DAWEO HQ finance section.
To check and control incurred expenses in accordance with proper budget lines.
Ensure production, accuracy and monthly delivery of all monthly, cashbooks, bank books, journal books, cash counts…etc. to DAWEO HQ finance section.
Be available and response to the comments of DAWEO HQ finance staff while reviewing the financial documents.
Develop and maintain effective filing system for the program documents, reports, administrative and HR documents, and other materials according to office protocols for the project.
Perform office administration (maintenance, procurement, transportation arrangement) prepare meeting agenda, conduct meetings, write meeting minutes and keep records of all the meetings;
Arrange refreshments and stationery for workshops and meetings those are going to be conducted in the region and its target provinces;
Maintain office inventory records and oversee the registration of all office equipment which is in the custody of staff members;
Make sure the asset (fixed assets and material) of the project is well recorded.
Maintain inventories physical checking and updating in monthly basis.
Inventory management including stock control.
Ensure that the office has the appropriate amount of furniture, cleaning supplies and stationery to accommodate staff needs through the identification of budget codes.
Oversee the updating and maintenance of the Asset register for DAWEO Office, and lead the process of asset disposals from time to time
Provide assistance to office management operation.
Any other relevant task given by the immediate supervisor.
