Job Description:
Main Responsibilities:
Purchasing all needed materials for WHH Office and procuring goods and services for the projects.
Getting quotations and preparing competitive, restricted, and national tenders as per WHH policy.
Preparing competitive bid analysis (CBA), contracts, and translation of the contract from Pashto/Dari to English and vice versa
Checking of all goods and services samples based on contract specifications.
Preparing PO/contracts for all goods.
Supervising all suppliers’ activities of projects.
Updating fuel consumption, stock items, SPR tracking sheet, and inventory reports on a monthly basis.
Close coordination with site supervisors regarding project activities.
Process all bills for Finance Department.
Keep updated of petty cash.
Travel to North Region Provinces (Jawzjan, Samanagan and Balkh) for getting quotations for local materials.
Participation in monthly and weekly meetings.
Strong checking of vehicle documents after every three months.
Having strong communication skills inside and outside the organization.
To organize and maintain logistics filing systems and documents as per WHH established standards.
To oversee the maintenance of travel logs.
To provide technical and logistical support to WHH staff and consultants as requested.
To coordinate with relevant vendors the provision of all necessary services (hotel accommodation, space, meals, equipment, etc.) related to WHH’s meetings and events.
Conduct oneself in a professional and ethical manner at all times and will not enter into any activities which may adversely affect the image of the WHH.
Performs any other job responsibilities as assigned by the logistics officer or regional manager.
Make a plan (schedule) for the work of his/her subordinates (cleaners and cooks) on a daily, weekly, or monthly basis.
Maintaining an updated inventory list of related office
Maintaining a proper record of all financial documents, incoming and outgoing letters, and contracts
Full compliance with WHH rules, regulations and policies, implementation of corporate operational strategies, establishment of management targets and monitoring the achievement of results.
Responsible to follow absolutely binding the anti-corruption policy of Welthungerhilfe in all operations.
Compliance with corporate rules and regulations in the field, WHH procurement policy including sourcing strategy, supplier selection and evaluation, quality management, e-procurement promotion and introduction, performance measurement.
Unconditional and absolute adherence to the security rules of the mission.
Respect the IT policies of the mission.
Under the strict supervision of logistic officer and regional managers, establishment of healthy relationships and working arrangements with project stakeholders and ensure transparent and correct communication with project stakeholders.

Qualifications and Education Requirements:
Bachelor’s Degree in business administration, economics, management, purchasing, supply chain or related fields
2+ years of relevant experience working as a logistics & procurement assistant
Able to manage multiple tasks and responsibilities
Proficiency in MS Office & Windows.
Verbal and written fluency in English
