Job description

Job Description:
Under overall supervision of the Head of Finance (HoF) Reporting Officer ensures timely and effective reporting and communication with donor/partners/HQ. S/He supports HoF during the whole audit process and audit visits.

Responsibilities  

Reporting tasks

Assists with the preparation of monthly/quarterly/annual financial reports for donors/partners and its archiving in ELO and/or donor portal;
preparation of supporting documents required for donor´s check (from ELO and/or from other archiving sources);
regular check of the archived supporting documents whether the PIN archiving guidelines and the donors´ guidelines are being followed;
regular check of quality, completeness, and correctness of all support documents received from partner/field staff in terms of reporting;
revision of the partners´ reports and check its correctness (based on PIN´s internal procedures and donors´ guidelines);
communication with donors/auditors/partners.
Programme support tasks

Supports the Programme team during:

programme monitoring and audits,
donation overview,
checks the archived programme documents and MoUs whether they follow the PIN archiving guidelines and the donors´ requirements.
Financial audit tasks

Supports HoF during audits, spot checks and donor checks to meet the general requirements and to provide the ledger entries sample, project drawing forecasts and allocation of uncovered costs in internal accounting system.

Other Duties

Substitutes colleagues during their absence (mainly archivist tasks);
member of Cash reconciliation committee;
building capacities of the field/project staff in archiving and administrative guidelines;
occasional field visits.
The Employer reserves the right to assign the Employee any other kind of work derived from his specialization. In case of urgent work and suchlike, the Employee may be asked to work overtime as well as during public and other holidays with relevant compensation.

 
Job Requirements:
QUALIFICATIONS AND PREFERRED SKILLS 

Two years demonstrated experience of administrative work
Previous experience with reporting duties
Fluent in English, Dari and Pashto – written and spoken  
Strong computer skills are essential including facility with Microsoft Word and Excel
Ability and willingness to multi-task and work under pressure
Ability to keep confidential documents and office confidentiality
Competencies

Accountable and responsible
