Job description

Job Summary:
Supervise the daily logistics activities; managing the logistics team under his supervision. Support in the implementation of security rules and measures. Support in the maintenance to the MSF equipment, facilities, and infrastructures in collaboration with the Technical Logistics Supervisor and Project Logistician according to MSF standards and protocols.


Duties & Responsibilities:
- Support the line manager in the day-to-day coordination and management of the logistics team 

- Organise and lead team meetings, attend logistics meetings and account for his activities

- Ensure the vehicle fleet and movements’ management including planning and follow-up of the day-to-day movements 

- Ensure the smooth running of all aspects of MSF facilities including security rules management/implementation, monthly maintenance of premises and equipment; regular inspection of the guesthouses 

- Support in the follow-up of the timeline of activities for all technical matters in collaboration with the line manager

- Responsible for the monthly supply of logistics items (water, gas, fuel, cleaning products), the monthly consumption analysis, and the management of the stock in collaboration with the Supply team

- Responsible for ensuring the safety and security of MSF facilities including fire-fighting equipment availability and regular review in collaboration with the Head of Watchmen (if any)

- Responsible to write and implement projects in order to improve the quality of services in MSF facilities (meal system, cleaning, safety, and security)

- Support in the management, good functioning, and hygiene standards compliance of the Hospital Kitchen

- Manage and follow up all logistics orders and demands from different departments or health facilities, provide support for local purchases according to MSF supply procedures, ensure reception conditions of freight or arriving material, set up materials before their shipment

- Monitor the maintenance activities of infrastructures and equipment in collaboration with the Technical Logistics Supervisor

- Planning together with the line manager the required checks and maintenance activities according to MSF standards

- Responsible for the daily worker follow-up according to activities and needs

- Responsible for the planning and administrative follow-up of annual leaves for his team according to activities and needs

- Ensure the training of new MSF staff on supply and logistics procedures, use of telecommunication equipment, and security rules

- Give regular feedback to the line manager and report directly any issue or incident 

- In order to ensure the coverage of the human resources needs and maintain high standards of quality, organize and coordinate the activities of the team supervised (week’s schedule, annual leave, absences, etc.), communicate with the HR Admin department all relevant information in due time, evaluate performance, define and ensure the needs for training

- Perform hands-on tasks as part of the team whenever required or needed in order to optimize the resources and to contribute with his/her knowledge and experience

- Participate in monthly reports according to guidelines




Job Requirement:
Education

- High school diploma (12th class) essential

- Technical diploma essential

- University degree desirable

- Proficient user of MS Office (Excel, Word, Outlook) essential

Experience

- Other experience in similar positions essential

- MSF experience is desirable

Languages

- Dari/Pashtu: oral and written essential

- English: oral and written essential



Working hours

- FULL TIME / SCHEDULE: 176 HOURS PER MONTH - DUE TO THE NATURE OF THE POSITION THE CANDIDATE MUST BE WILLING AND CAPABLE TO SOMETIMES WORK OUTSIDE REGULAR OFFICE HOURS

- SALARY WILL BE PAID ACCORDING TO THE MSF SALARY GRID
